Delegating tasks even when you struggle with giving up control – Achieve Success With Jen

Delegating tasks even when you struggle with giving up control

I’m one of those people who thinks that I need to do everything. I am a perfectionist and a control freak. I can admit it, and when I don’t have control I feel absolutely helpless! It’s no surprise that this feeling of giving up control was exactly what was holding me back from hiring a virtual assistant for my online business and delegating tasks to them

Maybe you can relate….I ask someone for help but become so frustrated because it’s taking too long, or not done to my liking that I end up taking it back and just doing it myself. I used to do this A LOT around the house. The idea of having my hubby and kids help with the housework SOUNDS great but in practice I couldn’t handle it…there I was micromanaging every little detail. It was painful….for everyone.

But here’s the truth….I can’t do it all….there isn’t enough hours in the day and I finally realized that I’m not superwoman! (shocking – I know!) something had to change unless I wanted to completely burnout.

That something was me. Now to some people the idea of micromanaging and controlling every little detail sounds absolutely ridiculous but to others….well you know exactly what I’m talking about! I’ve got 3 things that are going to help especially when it comes to delegating tasks and hiring a virtual assistant.

Done is better than perfect

This one can be hard, especially if you are a perfectionist, but the reality is that if you are focusing on perfection you are dropping balls in other areas. Your to-do list is a mile long and there are things that aren’t getting completed. A virtual assistant might not get it done to your standard of perfection but they will get it done and it will be good enough.

If you aren't getting your message out because you are waiting for it to be perfect you aren't helping anyone.

Document your processes

document, delegateYou need to be able to explain how you do things. A virtual assistant cannot read your mind and the best way for you to still maintain a feeling of control is to have a process laid out for your tasks. The best way to do this is to start out by listing each step that you take in a process. Once you have your virtual assistant you can give them the checklist so that they know exactly what needs to be done. I love to use Trello to assign tasks because you can create a checklist. Both you and your VA can receive updates as tasks get completed and everyone knows what pieces of the process belong to them.

Just know that as you work with your VA expect that your processes will change a bit. When I was doing everything by myself I had a process that I would follow for my content, once I started working with my VA I altered it because it simply wasn’t efficient to do it that way. Be flexible and open to new ways of doing things. Your VA is an expert in what they do and there is more than one way to do things!

Communicate

communication, delegate, oursource, taskGreat communication skills are on the list for good reason. Learning how to clearly communicate what is in your head is a skill that is worth it’s weight in gold. If you want people to think like you then you need to let them in on your thought process. This is especially true if your VA is helping you with something creative or visual. If you can’t communicate the feel that you want to have then you will be frustrated and so will they. Remember, people learn differently, communicate different ways to really get your point across. You can communicate verbally, written, visually through video but make sure you communicate the WHY. This one is so important. When people understand why they will be able to pull it all together. Why something is important, why you want to evoke a feeling, why you want something done a certain way. In addition to communicating with your VA, make sure that you are listening to what they are saying. Communication goes both ways and having regular, open and honest communication is the recipe for success!

Working with a virtual assistant is what will take your business to the next level, it is absolutely possible for you to build a team even if you are a control freak, all it takes is a bit of a mindset shift and setting your business up with controls in place. Often the biggest hurdle is getting used to the idea of letting another person in your business. Once you do you will realize that it isn’t as hard as you think and the payoff of having more time and focusing your activities on what you love is well worth it!
